Distribution of list configurations
In some categories, you can configure lists as templates and distribute them to users and groups. You can also distribute the templates to a user template. In this case, this configuration is available to all users of the template.
Templates are a powerful tool for defining and managing list configurations in different areas of the system. This function is available for the property search and the list of prospects as well as for the management of the contact and property main lists. By using templates, users can create standardized views, which significantly increases efficiency and consistency in data management.
Certain information is mandatory for the successful creation of a template, while other fields are optional for further specification.
Mandatory:
- Template name: A unique name to identify the template. This name should be concise and clearly reflect the intended use of the template.
- List rider name: The name that is displayed for the tab in the respective list when the template is applied. This name should be easy for users to understand.
Optional setting for detailed configuration:
- Mode: Depending on the module, various familiar list modes can be selected here.
- Filter: Predefined filters can be stored here, which are automatically applied to the list when the template is used. This enables a focused display of certain data records.
- Exclusion filter: This can only be found on prospects tabs and can exclude certain contacts from the display.
Status: The configuration can filter data records with a specific status. - Unit: Here you can specify whether units are displayed in the property list .
- View: In addition to the mode, further details on the visual display can be defined here.
- Number of data records A default number of data records to be displayed per page in the list can be defined here.
- Hide already offered: This setting is reserved for the tabs for the property search and hides data already offered.
- Only display your own: Only the data records of the respective user are displayed. This setting is only available for the property search tabs.
- Hide units: Units are shown or hidden depending on the setting. This option is only available for property search templates.
- Hide contacted prospects: With this option, contacts that have already been contacted are not displayed in the Prospects tab .
- Hide other prospects: On the IProspects tab, only those contacts are displayed for which the logged-in user is the supervisor.
- Hide rejections: Contacts that have already canceled are not displayed on the Prospects tab .
- Hide shortcuts: The linked owner and the linked contact persons of the open property are hidden on the Prospects tab .
Once all settings for the template have been made, it can be created via “Save”. Once the template has been saved, you can select it in the “Template” selector and configure the list.
Once created, templates can be distributed to individual users, groups and user templates. To do this, click on Distribute template in the lightbox and you can make the respective distributions via the corresponding tabs.
Special features:
- Templates are not inherited from one group to another. A group change can mean that certain list tabs are no longer displayed, but new ones are added.
- If a template is assigned to a user template and the user is later given the setting Free settingsin the user rights, the template remains with the user. This is then automatically entered in the user distributions.
If you want to cancel a distribution, simply click on the after the entry.
Display of distributed templates

Distributed templates are always displayed with a chain symbol in the respective lists (property search, prospects list, contact list or main property list).
If a template has not been distributed to a user, he can still use the template. If he creates his own riding in the above-mentioned lists, he can now also select a template. The user cannot make any changes to the selection, otherwise the template will be deselected.
To edit a template, select it using the selector. The list configuration of the template opens. You can edit and save these directly.
To make changes to the displayed data, click on the Edit templatebutton. The same view opens as when creating a template. Once you have made and saved all changes, these are distributed directly to all template users. All tabs are adapted to the new configuration – regardless of whether they were created from a template or distributed. This ensures that all relevant employees have access to a standardized data view.
To delete a template, click on the button Delete template. Please note that the tabs are deleted for all users, even if you have created them yourself from a template.
