Accesses for owners
Property tracking for owners
Property tracking can be easily activated for owners from their contact record. For this, at least one property must be linked in the “Property” category and an e-mail contact must be stored.
In general, property tracking can only be activated for contacts for which the user has write permission and only for properties for which at least read permission is available.
Further requirements and permissions can be found in the Basic Settings item in Property Tracking Settings .
For an contact record with a linked property and an existing e-mail contact, an account can be created in the Actions bar under More Actions >> Property Tracking . The creation also includes the sending of the access data. If the entries are all inactive / grayed out, please check the basic settings from the property tracking settings . The item “Send access data” is only available as long as no access has been created yet. After creating, the menu shows the entries for property tracking management.
Clicking on “Send access data” opens a popup with which the access is created and the access data is sent.
You can select the e-mail contact to which the access data will be sent. The displayed login name is assigned by the system and cannot be changed.
Under “Assigned properties” you will find all properties that are linked as property in the contact record. Here you can directly tick the properties for which you want the owner to see agent’s log entries.
Properties to which you do not have read permission are displayed “ausgeX’t” and cannot be activated / deactivated by you for property tracking.
With “Create and send data” the access is created and the access data is sent by e-mail.
You can subsequently change the properties for which property tracking is enabled. To do this, in the owner contact record, in the Actions bar, go to Property Tracking >> Change Property Selection Change.
The property tracking popup will open and you can change the list of “assigned properties”.
Properties to which you do not have read permission will be displayed “ausgeX’t” and cannot be activated / deactivated by you for property tracking.
If the owner does not remember his access data, you can send new access data.
To do this, go to Property tracking >> Resend access datain the owner contact record in the Actions bar.
In the property tracking popup you can see which properties are enabled for property tracking, but you cannot change the list.
You can see the login name in the property tracking popup.
Access for the owner can be blocked. To do this, in the owner contact record, in the Actions bar, go to Property Tracking >> Block Access.
You will then be asked if you really want to block the account and have to confirm the blocking with “Ok”.
A blocked access for the owner can also be unlocked. To do this, click Next Actions >> Property Tracking >> Unblock Access in the Actionsbar of the owner contact record.
Again, you will be asked if you really want to unlock the account, which you have to confirm with “OK”.
You have released entries for property tracking for a property and would like to know if everything can be seen? You can do that using the “Preview property tracking ” item in the Actions bar.
The preview shows on the normal property tracking web page the list of all properties that have been approved for this owner for property tracking .
In the detail view for each property you can see the approved entries from the agent’s log.
If this menu item is not visible, you do not have the necessary user rights.
