Optimize your inbox by having emails sorted automatically. For example, you can move import reports directly to a target folder to keep your daily email traffic organized.
Open filter settings
New email interface (new email GUI): Select “Email” in the Quicksearch and click on Detail filter below the search button.
Classic email interface (old email GUI): Click on Further actions → Filter email.
Create new filter
To create a new filter, click “New”.
Filter criteria
Filter name (1)
Enter the desired name of the filter.
For emails in (2)
The filter settings apply to the emails located in the folder specified here.
who meet all of the following criteria / who meet any of the following criteria (3)
First select whether the results must fulfill all or only one of the following criteria. Then click on ‘Add’to define the specific filter conditions.
Filter actions (4)
Specify the desired action for your filtered emails here – for example, moving them to a folder, marking them as read or deleting the message.
Example: Emails that contain the keyword “Import report” in the subject line are automatically moved to the archive.
Click on “Save”to complete the configuration. The new filter is listed in the left-hand filter window. Please note that the rule is only applied to unread emails . In the selected example, all unread import reports are automatically archived.
Notice: Messages that were opened before the filter was created are not automatically recorded. To subsequently apply the filter to these emails, simply mark them as “unread” again.
The view below is divided into two sections: In the left-hand window , you can manage your individually configured filters, which apply exclusively to your user. The right window is read-only; it is used for the automated assignment of content (e.g. contact data) that is transmitted to the system via external portals.
