Import emailbox

Attention, for security reasons, a connection is only possible via SSL when importing mailboxes.

TLS / STARTTLS is no longer supported.

You can obtain the access data for SSL from your email provider.

The required access data

Before you start setting up an import, please make sure that you have the following data available; your email provider can provide you with this data:

  • Email address
  • Username
  • Password / Password
  • Incoming mail server and, for IMAP, the associated SSL port
  • Outgoing email server

onOffice emailboxes / external POP3 emailboxes setup

If you already have an email address that you also want to use in onOffice, you can set up an import. First open Tools >> Settings >> Basic Settings and select the “Email” tab. Here you have the possibility to enter your already existing address.

Then click the “Import emailbox” button.

Enter the incoming email server, user name, password and the respective data for outgoing email here. After entering, you can check the access data by clicking the “Test” button. If the access data is correct, you can save your data by clicking the “Save” button. Now you just need to assign a userto the email emailbox you just created.

 

Set up external IMAP emailbox

To be able to set up a new IMAP account in onOffice if you have not yet set up a emailbox, please proceed as follows: In the software, click Tools >> Settings >> Basic Settings >> Email >> External IMAP emailboxes

Here you now have the option to set up an import. To do this, enter the address of the emailbox you want to import in the “Email address” field under IMAP Import and then click the “Import emailbox” button. A pop-up window will open.

Enter the incoming email server, user name, password and the respective data for outgoing email here.

For onoffice internal addresses is:
Inbox server: “imap.onoffice.de”
Outgoing email server: “smtp.onoffice.com”

Please remember that only SSL is supported as encryption.

The user name corresponds to the respective email address to be imported and the password can either be requested from your administrator or viewed under Tools >> Settings >> Basic Settings >> Email by selecting the emailbox and clicking on “Show password”.

After entering, you can check the access data by clicking the “Test” button. If the access data is correct, you can save your data by clicking the “Save” button. Now you just need to assign a user to the email box you just created.

Set up IMAP account with an existing address in onOffice

Notice:

If you have already set up an email address in onOffice via POP3, you must delete this email address before creating an IMAP import. Please keep in mind that this will delete all emails. Show Gmail folder

In order to have system folders of Gmail mailboxes displayed in the new onOffice enterprise email client, the corresponding folders must first be released for IMAP in the Gmail settings.

First activate IMAP access for Gmail in the settings under “Forwarding & POP/IMAP”.

Then call up the Gmail settings for labels and make the desired settings for the various folders.

Assign a user to the emailbox

You can add and removeusers for the mailbox via “Assigned users”.
